KEY TO ACHIEVE SUCCESS IN TELEPHONIC INTERVIEWS

With the revolution of communication technology and mobile equipments, many activities are executed from remote location. Now is the time when we monitor and control various business activities and professional tasks by holding a mobile handset only.

This era of information and communication technology has also influenced the current job market which includes sending interview call letters by SMS, schedule a telephonic interview and even intimation of final result on a ten digit mobile number. Now the Human Resource (H.R.) Department of many organizations is shortlisting and calling the candidates by telephonic conversations. The time is left far behind when there was long wait for the interview call letter to be delivered by the postman. Now, almost every organization believes in the screening the candidates by telephonic interviews rather than sending sealed envelopes with postage stamps. There are many reasons due to which telephonic interviews are planned.

Telephonic interviews are scheduled to determine whether the candidate is competent to face the personal interview or not. Basically, a telephonic interview is the first contact, the candidate establish with the company. Such interviews are often used for shortlisting the candidates in order to narrow the crowd of applicants who will be invited for face-to-face interviews. Moreover, telephonic interviews minimize the expenses involved in interviewing distant candidates. In many cases, candidates belong to remote area and cost of traveling and accommodation is to be reduced by conducting a telephonic interview to save too much time, money and cost. Obviously, in telephonic interviews, no time is spent in railway stations, bus stands, airports or on the highway. Also there is no expenditure on flights, hotels and meals. Candidate can appear in the telephonic interviews while sitting at their home or any other place of convenience.

As you are also searching for the jobs enthusiastically, so be prepared to attend a phone call which may be your initial step to move inside your new office. So, the candidate should always be prepared for a telephonic interview. Therefore, it is suggested not to switch-off the mobile phone because the first call of interviewer can arrive at any time or any occasions. Many candidates underestimate the importance of a telephone interview and talk in casual way. This is the biggest mistake because that is the first impression and interviewer may not call the candidate again. Some candidates believe that a telephone interview is just a formality and consider it a ceremony before a face-to-face meeting. But it is not true. So, candidates are advised to behave in a gentle and sincere manner while receiving the call.

CHALLENGES IN TELEPHONIC INTERVIEWS

However there are many advantages of telephonic interviews but there are some complexities and challenges associated with it.

  • The candidate can't see the interviewer face-to-face, and therefore their body language can’t be analyzed. Here, the concept of seeing into their eyes and gesticulation is nowhere. In telephonic interviews, candidates cannot show the confidence in terms of greeting smile and sitting style.
  • Every person is not gifted with the attractive Anchor-Like Voice. Sometimes, the candidate is very good in personality and knowledge, but voice is not very impressive. Moreover, pronunciation and dialect of every person is different depending upon the region which is one of the obstacles in effective communication. In this case, telephonic interviews are not successful.

TIPS TO SUCCEED IN THE TELEPHONIC INTERVIEWS

Here are some tips which should be followed in the telephonic interviews so that the candidates can be called for the personal face-to-face interview or getting appointment letter in hands. Just as you would prepare yourself for the face-to-face/personal interview, devote some time for planning and preparing for such interviews.

DO NOT SWITCH-OFF YOUR PHONE
The candidates should keep their mobile phone always ON because the phone call can ring anytime. The battery of mobile phone should be fully charged. In case of meeting or other official appointments, the phone may be placed in vibration or silent mode rather than switched-off. It leaves very bad impression on employer if the phone of candidate is in switched-off mode or giving message that the number is out of service due to low balance.

ATTEND CALL AT QUIET ROOM
Select a quiet, private room with a cell phone in good working condition. Make sure that you do not receive other phone calls if you know the time of telephonic interview.

KEEP IMPORTANT DOCUMENTS READY
Keep yourself free atleast at the time of interview and make sure that that there is no background noises to disturb and hinder the interview process.  You should be having the copy of your Resume (Professional Profile/CV) that was sent to the company. It will give you the information which information you have sent to the company. You should have a Pen and Paper to note the points. The candidate should keep a calculator and a calendar ready so that any schedule can be fixed or to perform some calculations.

AVOID RESCHEDULING OF THE INTERVIEW
If you want to change the interview time due to busy schedule, don’t reschedule the interview again and again. It will give bad impression of non-seriousness to the interviewers. Try to reschedule the interview only once if unavoidable. You should not reschedule the interview because of not being prepared. Try to have all the certificates and testimonials with you so that you are ready to give any information on demand.

RESPOND WITHIN SECONDS RATHER THAN MINUTES
In telephonic interview, the candidate should respond to questions within 1 minute. In case you are thinking for the answers, the first response should be delivered within 10 seconds otherwise simply say sorry. Candidates should avoid lengthy responses because the interviewer expects short answers on phone rather than long stories.

AVOID ANSWERS IN “YES, NO, YA” LIKE WORDS
The candidate should avoid answers in “Yes”, “No” or “Ya” words. The response delivered by the candidate should be well explained so that it is understood by the interviewer. The candidate should keep the voice clear, conversant and non confusing.

JUSTIFY YOURSELF
The candidate should be well prepared to justify his/her performance in last few years. It will leave a very good impression on the employer regarding your current status and performance evaluation. Moreover, there is an impression of being confident to the interviewer. The candidate should be able to describe the goals and objectives of professional life. Here, the interviewee should not give more attention of salary and promotion.

STAY ALONE DURING THE INTERVIEW
Sometimes, the candidates take help of friends during the interview. It is not advisable. You should be alone while appearing for a telephonic interview rather than friends or kids around you. The candidate should thank the interviewer for spending the valuable time and considering you atleast for the telephonic interview. The candidates are not advised to smoke, chew gum, eat or drink anything when the interview is going on. It gives the caller a feeling that you are trying to steal some time before answering.

DELIVER HONEST AND TRUE INFORMATION
One of the important points the candidate should remember is not to give any manipulated or false information while answering the Tell Me about Yourself Interview question. Now days, the organizations are taking help of detective agencies to keep track of candidates’ personal and professional background. Such checks have become very important and strict today. The employer may dismiss the person even after years of working, on the basis of some false information provided during the initial phase of interview.

In the last few years, thanks to jobs becoming global, the importance of English has increased manifold. It has over the years become an important medium of communication, both at the international and intra-national levels. The importance of spoken English is even more, because there are many cases where one knows his subject well, but fails to communicate it properly. The practice of spoken English, therefore, is quite essential. Learning English in a country where it is not a native language, opens a number of opportunities for the individual. In today’s corporate world, the need for effective communication has been recognized and accepted more than the technical knowledge. The language of the corporate world is English. An individual can make strides in the management ladder if he/she can speak English fluently. If your English is poor, even though with brilliant business ideas, you may still find yourself languishing at the bottom of the management ladder. Your productivity will drop over a period of time since you will find difficulty in expressing your brilliant ideas. Those who can speak good English will probably usurp your ideas and get the credit for all the hard work you did to get the idea working. So there are immense opportunities for English Language trainer to train people in communicative English for different purposes like group discussions, interviews, oral presentations, report writing, writing letters etc. English language trainers generally handle individuals’ abilities to frame grammatically correct sentences or his lack of vocabulary, fear of speaking to groups of people, and ineffective presentation skills. Here are a few skills that an English language trainer tends to teach.

Effective Communication Skills

Effective communication skills include oral Skills for public speaking, presentations, negotiating, conflict resolutions, knowledge-sharing; Writing Skills for preparing reports, proposals, instruction manuals, writing memos, notices, official correspondence etc. It also includes a combination of verbal and non-verbal skills marked with proper and distinct articulation, appropriate pause, and voice modulation. If the medium of communication is English, certain amount of proficiency is needed in it. As English for us is a second language and not our mother tongue, a constant practice at home, followed by language-lab sessions, is the need of the hour. Those institutes which want their students to get placed in MNCs and reputed companies, must give this an urgent thought. It is here that an English Language Trainer has a role to play. Quality job depends as much on knowledge of the respective subject as on good communication skills.

Group Discussion Skills

Group discussion is one of the ways to test someone’s communicative skills generally before the final interview for a job. An English language trainer trains the candidates for group discussions.

A Trainer, while training the candidates for group discussion must keep in mind the following things in order of their importance:

1.   Thorough knowledge about the topic
2. Language competence or communication skill
3.   Confidence
4.   Initiative
5.   Leadership quality
6.   Group behavior or team spirit

Interview Skills

Interview is the test of one’s total personality, which like iceberg, is largely below the surface. While training the candidates, the trainer aims at grooming the whole personality which comprises of confidence, attitude, aptitude, behavior pattern, team spirit, clarity of thought and expression, ability to take quick and correct decision, originality of ideas and approach, innovative mind and cheerful disposition. He usually organizes a number of mock interviews to make the candidates confident and to assess them as where they are lacking in order to fill the

Oral Presentation Skills

Fear of speaking in front of groups is one of the greatest fears people have. Here, the role of a trainer is very crucial who trains the candidates in practices confidence, calmness, and how to concentrate on his/her message. The trainer begins with a strategy that includes understanding your purpose and role, tailoring your message to the audience, clarifying your objectives, developing a logically compelling case for your plan, and reaching a common goal. Then he makes the candidate learn how to structure his material into a meaningful message. Finally, the style of presentation is prepared which focuses upon your posture, attitude, tone, enthusiasm,
loudness, and your approach.

Technical Writing

Since the success rate of an individual in an organization commensurate with his communicative abilities, writing deserves the first and foremost attention. The style that will make your writing more effective has to conform to the principles of clarity, consistency and plainness. Since people’s background and experiences are different, they may present their experiences/ viewpoints differently but one should always try to maintain objectivity, detachment and neutrality in one’s writing. The following things which are important are intended by the trainer

  • Visualize what you wish to say
  • Organize the data and their analysis
  • Be fluent while writing the first draft
  • Revise the draft carefully.
  • Delete the word, phrase, sentence or paragraph that is superfluous.
  • Maintain objectivity
  • Avoid struggling on a point unnecessarily

Career Prospects

  • English Language Trainer

The growth and development of an employee in any organization is directly proportionate with his communication skills. Research tells that whatever one learns in the class room only ten to fifteen percent of his technical knowledge is used in actual organizational context and rest is his communication skills. As one grows further in the hierarchy, the importance of communication is increased. As a recruiter, companies often face the problem of assessing a candidate’s command over English language. Even the existing work force does lack communication skills. Most of the organizations are aware of this and they train their employees in Communication skills in order to increase the productivity of the organization and better representation of the organization at national and international levels.   After receiving a degree in English Language, one can get a job in any of the organizations and earn handsome amount.

  • Teacher

Teaching is a good option for an English Language trainer as Technical Communication is a compulsory subject in all Engineering and Management Institutes. There the students are trained and prepared in communication skills to perform better in interview and group discussion for their placements. Since the growth of an institute is totally dependent on the job placement of its students, the role of an English Language trainer becomes very crucial. A person with first class degree in English Language can get a job in any of these institutes based on his/her performance in the interview.

  • Editor

Editing can be a good option for an English Language graduate. Here the fresh graduates need a specific training in written language, word usage, and sentence structure in order to have expertise in editing works. An English language trainer may train them in these respective areas. After the specific training, the candidate may get a job in any of the publishing houses. There is dire need of such expert editors in business world too to edit the official documents.

How to Reinvent your Career

How to Reinvent your Career

If you work long enough, something along the way will probably happen to you. You will work with a co-worker who drives you crazy, a boss that doesn't get you, or an employee that keeps you up at night.

It's all a part of the working world.

At other times, things will happen to you that will throw you for a loop. Your job is eliminated. You are fired without reason. Your industry goes away. This is when it's important to take stock in who are you, what you want out of life, and where you want to go next.

So, how do you get yourself back on track; find your passion and purpose again, and reinvent the next phase of your career? You soul-search and ask lots of questions.

Here where you begin:

You Make Time To Think

Reinvention cannot happen without thought.

A clear picture of where you want to go next cannot come to you unless you create time to think about it. This time is what will allow you to get in touch with yourself and your priorities.

One of the main reasons your off track right now, is because you've been "busy," too busy to make time for you. This does not mean that you have to allocate days or weeks of thought to nothing else; BUT regularly taking an hour here and there will make a tremendous difference.

Ask yourself, "When will I make time to think about what I want?" Notice that I am not saying to ask yourself whether you will find time, but rather when you will make the time. It is essential to be assertive with yourself.

Once you have made the time, find a quiet place. Sit down and take deep breaths, as many as you need to instill a sense of calmness. Your mind will want to wander, but you must bring yourself back. Remind yourself why you are doing this. You want something better in your career. Focus on the importance of this to your career, and channel your thoughts in this direction.

You Ask Yourself What You Want

Reinvention happens when you decide what you want, and then take action to get it. Without an end in mind, you will wander aimlessly; and as long as you are aimless, you will be wasting time. You will feel lost. You will be like a stray leaf, going wherever the wind takes you.

Ask yourself the following questions:

  • If it was impossible to fail, what would be different in my career?
  • What type of job would I have?
  • What would I be responsible for?
  • What type of boss/co-workers/team would I have?
  • What kind of hours would I work?
  • What type of company would I work for?
  • What sort of culture would the company have?
  • What city would I live in?
  • How much money would I make?
  • How would I handle stress, my workload, and deadlines?
  • How would I successfully be balancing work and life?

There is no right or wrong answers to these questions. The answers are what are true for you-not what someone else wants for you, but what is in your heart. Listen to yourself, and your answers will be the perfect ones for you.

In addition, don't let past mistakes or choices cloud your answers. It's not too late for you.

You Turn What You Want Into A Vision For Your Career

A vision is a picture of where you see yourself in the future. Your picture can describe where you want to be in a day, a week, a month, a year, or even farther into the future.

All goals are reached in the mind first. You see yourself both achieving that goal and experiencing the satisfaction it will bring you once you are there. This picture is what will help you to persevere during times of doubt. It will help you with your reinvention. Your picture will give you purpose, power, and excitement. Your picture will give you a reason to get out of bed every day.

Here's an example of a vision:

I will have a career that energizes me. I will work for a company that cares about its people and be responsible for projects that make a difference. I will be paid well for my contributions. I will have a great relationship with my boss, co-workers, and staff, and work with supportive people. I will work in a location with plenty of sunshine, for no more than eight hours a day. I will commute no more than a half-hour each way. I will feel calm when everyone around me is stressed and I will wake up every morning looking forward to the day.

Remember, reinvention is a journey. One day you may have no idea who you are anymore, and on another day, you will be grateful for the events that have transpired in your life because you have become a person you truly love.

So, what do you say? You only have one life to live, so it might as well be a life you love!

Tomorrow will be a Better Day

Your career has its ups and downs

We all have or have had career slumps and they do pass. If you are feeling "slumpish" these days, know that you will look back one day and recognize the valuable lessons you've learned from this time in your life. Everything happens for a reason-you just might not know the reason yet.

If this is a down period for you, the good news is it's up from here.

While You Are Figuring Things Out, Trust That Tomorrow Will Be A Better Day. Here's How To Focus On What's Yet To Come:

1. Write Down What You Want Your Future To Look Like

Create a picture of where you see yourself in the future. Your picture can be one of where you want to be in a day, a week, a month, a year, or even farther into the future. This picture gives your journey a clear and reachable destination and provides focus.

Close your eyes. Let your imagination take over. Get in touch with what you really want and what is important to you. Ask yourself what you want and get your answers down on paper. Keep this description with you and look at it every day. Great things tend to happen to those who know where they are going.

2. Have A Plan

Once you have your answers, you can begin to put them into a formal structure.

Having a plan is vital to your success. With a plan, a fulfilling career will be far easier to achieve. Without a plan, you will be working far harder than you have to.

The trick is to be clear about the steps that are necessary to ensure your success. The more specific you can be in describing your steps, the better. Figuring out in detail what steps you will take-and when you will take them-is the foundation of your plan.

Another reason to create a plan is that it will prevent your goals from becoming overwhelming. The temptation to feel overwhelmed is normal. You are, after all, about to jumpstart your career. The structure of your plan will give you comfort and help you get moving again.

3. Take Action

Action is essential to your success. And, one of the best ways to keep your momentum going is having the steps you created in your plan written into your calendar.

Use your calendar as your friend to help guide you and keep you on track. Having a calendar will help determine whether you reach your goal or not. If your steps are written into your calendar, there is a higher probability that you can quickly check them off your list, because what you need to do is in front of you. If your steps are not in your calendar, they probably will not get done, because you may forget what you need to do.

Your calendar is your friend. Begin your friendship by opening your calendar and entering the steps from your plan into it. Commit to doing at least one thing every day, whether you feel like it or not. One action per day leads to a substantial number of actions taken over time. This is how you will be successful.

4. Tell Yourself That Greatness Is Waiting For You

The workplace, from time to time, can take a toll on your self-esteem. For example, if you are working in an environment that is filled with negativity, it will be harder for you to be positive. If your boss tells you daily that your work is no good, it will be harder for you to believe in your abilities. If you have been out of work for some time, it will be harder for you to trust that you have something worthwhile to contribute to the workplace, or more difficult to think why someone would hire you.

How you view yourself is how the world views you, too. If you are confident, the world sees a confident individual. If you don't feel good about yourself (for whatever reason), the world sees a person they don't have to pay much attention to.

Many clients have asked me whether I think they will be successful in reaching their goals. My answer is yes-if they do the work and they believe in themselves.

So, what do you say? You only have one life to live, so it might as well be a life you love!

All of life's journeys begin with the phrase, "I want."

Think about your career and the times when you said "I want." Maybe you said "I want" go to college-and then enrolled in school and completed your degree. Maybe you said "I want" to work for a large or a small company-and you are working there now. Maybe you said "I want" to lead teams-and that's one of your current responsibilities. "I want" is a very powerful phrase. Without it, it's hard to go very far.

Imagine going on a trip without selecting a destination beforehand. What would you pack? How would you get there? Where would you stay? Your trip probably would not end up being much fun.

It's the same with your career. Not being able to visualize your desired result leads to results not happening. Goals are reached when you decide what you want, and then take action to get it. Without an end in mind, you will wander aimlessly; and as long as you are aimless, you will be wasting time. You will feel lost. You will be like a stray leaf, going wherever the wind takes you.

What's a Vision?

My definition of a vision is a visualization or a picture of where you see yourself in the future. Your picture can be one of where you want to be in a day, a week, a month, a year, or even farther into the future. The visualization of your goal is what compels you to move forward. A vision is a snapshot of what you want your career and life to look like in the future. This snapshot gives your journey a clear and reachable destination and provides focus.

All goals are reached in the mind first. You see yourself both achieving that goal and experiencing the satisfaction it will bring you once you are there. This picture is what will help you to persevere during times of doubt. Your picture of success will give you purpose, power, and excitement. Your picture will give you a reason to get out of bed every day.

How do you create a Vision?

Close your eyes. Let your imagination take over. Get in touch with what you really want and what is important to you. Ask yourself meaningful questions. Let the answers come to you.

What Questions will help get you to a Vision quickly?

Here are some questions you can ask yourself:

  • If it was possible, what would be different in my career?
  • What type of job would I have?
  • What would I be responsible for?
  • What type of boss/co-workers/team would I have?
  • What kind of hours would I work?
  • What type of company would I work for?
  • What sort of culture would the company have?
  • What city would I live in?
  • How much money would I make?
  • How would I handle stress, my workload, and deadlines?

Once you have thought about these questions, it is time to get your answers down on paper. There are no right or wrong answers to these questions. The answers are what is true for you-not what someone else wants for you, but what is truly in your heart. Listen to yourself, and your answers will be the perfect ones for you.

Once you have your vision, then it's time to make it real.

So, what do you say? You only have one life to live, so it might as well be a life you love
